Version History in Teams, SharePoint, and OneDrive

Overview

Version history is one of the most powerful file‑management features in Microsoft Teams, SharePoint, and OneDrive. It allows users to view, compare, and restore previous versions of documents—preventing data loss and making collaboration safer.

How Version History Works

All files stored in SharePoint (Teams channel files) and OneDrive (chat files) automatically maintain a version history. A new version is created whenever:
• Someone edits the file.
• Metadata changes (e.g., file name or properties).
• The file is restored or overwritten.

Version History in Teams Channels

Since Teams channel files live in SharePoint:
• Version history is stored in the connected SharePoint site.
• Users can access previous versions directly from Teams or from SharePoint.
• Version history tracks who made changes and when.
• Users can restore older versions without affecting permissions or file links.

Version History in Chats

Files shared in Teams Chats are stored in OneDrive. OneDrive supports the same version history features as SharePoint:
• Every file change creates a new version.
• Versions can be restored from the OneDrive interface.
• Users can see when edits were made and by whom (if co‑authoring).

Benefits of Version History

Version history prevents data loss caused by:
• Accidental deletions.
• Overwriting files.
• Formatting changes gone wrong.
• Editing conflicts in multi‑author work.
It also improves accountability by showing edit history and authorship.

 

How to Access Version History

Teams makes accessing version history simple:
1. Open the file in Teams or SharePoint.
2. Select the ellipsis (⋯) next to the file.
3. Choose Version History.
4. Review, open, or restore previous versions.
OneDrive users follow a similar process through the OneDrive web interface.

Best Practices

• Encourage staff to use version history before overwriting files.
• Restore rather than manually replacing content when mistakes occur.
• Use version comments in SharePoint for major file revisions.
• Avoid downloading/uploading new copies—use the same cloud file to preserve versions.
