Renaming, Moving, and Deleting Files in Teams

Overview

Managing files in Teams includes renaming, moving, and deleting content. These actions directly affect file organization, permissions, and how others collaborate on documents.

Renaming Files

To rename a file in a Teams channel:
1. Go to the Files tab.
2. Select the file.
3. Choose Rename from the menu.
Renaming a file updates it everywhere without breaking links or permissions.

Moving Files

Moving files reorganizes your Teams file structure.
How to move a file:
1. Select the file.
2. Choose Move to.
3. Select the desired folder or channel.
Permissions remain intact because files stay within the same SharePoint library unless moved outside the Team.

Deleting Files

Deleting files removes them from the channel but does not erase them permanently.
• Files go to the SharePoint recycle bin for 90 days.
• Team owners or site admins can restore them.
Avoid deleting shared or official documents unless approved.

Important Notes

• Moving files between Teams may change permissions.
• Renaming does not affect version history.
• Deleted files can be restored if action is taken promptly.

Best Practices

• Keep folder structures clean and intuitive.
• Avoid duplicate files; rename or move as needed.
• Ask before deleting team‑critical documents.
• Use Move rather than Uploading duplicates to maintain history.
