Opening Files in Teams (Desktop App, Browser, or In-App)
Overview
Teams gives you multiple ways to open and interact with files. Choosing the right option depends on how you want to work—whether that's quick viewing inside Teams, using the full desktop application, or opening the file in your browser. This guide explains each option and when to use it.
Opening Files Inside Teams (In-App Viewer)
This is the default when opening most Office documents inside Teams.
• Best for quick edits or viewing.
• Supports real-time co-authoring.
• No need to switch apps.
Note: Some advanced features (certain formatting tools, add-ins, macros) may not appear in the in-app viewer.
Opening Files in the Desktop App
Opening a file in the full desktop version of Word, Excel, or PowerPoint provides the richest editing experience.
How to open in desktop app:
1. Select the file.
2. Choose Open → Open in App.
Best for:
• Complex documents.
• Advanced formatting.
• Working with macros or add-ins (Excel).
Opening Files in the Browser
Office for the web (Word, Excel, PowerPoint online) offers a fast, lightweight editing experience.
Use this option when:
• You do not have the desktop app installed.
• You are on a mobile device or shared computer.
• You want quick access without opening another app.
How the File Opens Depends on Permissions
• If you have edit permissions, you can open and co-author in any mode.
• If you only have view permissions, the file may open in read-only mode.
• Some files (PDFs, images) will always open in the viewer unless downloaded.
How to Switch Between Modes
From the Teams file preview window, use the Open dropdown. Options usually include:
• Open in Teams
• Open in Browser
• Open in App
Switching modes does not create duplicates—everyone still works on the same shared file.
Best Practices
• Use in‑app viewer for quick reviews or light edits.
• Use desktop apps for heavy editing or advanced features.
• Avoid downloading files unless necessary—downloading creates local copies that do not update the shared version.
• Teach coworkers to use the Open in App option when they need full editing tools.
