Uploading files to Microsoft Teams correctly ensures they are accessible to the right people, stored in the correct location, and benefit from version history, permissions inheritance, and collaboration tools. This guide covers how file uploads behave in both Channels and Chats.
Uploading Files to Teams Channels
When you upload a file to a channel, it is stored in the SharePoint site behind the Team. Methods:
• Drag and drop into the Files tab.
• Upload using the Upload button.
• Attach a file directly in a channel post.
All channel files become accessible to all members of the Team.
Uploading via Channel Posts
When attaching files to a post:
• The file is uploaded to the channel’s Files tab automatically.
• A link to the file appears in the message thread.
• The file inherits permissions from the Team.
Uploading Files in Chat
Files shared in a one-on-one chat or group chat behave differently:
• Files are stored in the sender’s OneDrive.
• A link to the file is shared with chat participants.
• Only chat participants have access.
Chat uploads are best for temporary or personal exchanges.
Choosing the Right Upload Location
• Use Channels for department, committee, or project files.
• Use Chat only when sharing informally with one or two colleagues.
• Store long‑term or official files in Teams—not Chats.
Best Practices
• Upload to Channels when collaboration is expected.
