This quick reference guide summarizes the differences between Teams, Channels, and Chats so you can quickly choose the right communication space.
Teams
Use Teams when:
• A group needs ongoing collaboration.
• You need shared files, meetings, or apps.
• Work spans weeks, months, or semesters.
Channels
Use Channels when:
• Work belongs inside an existing Team.
• You need topic-based organization.
• Multiple people need access to the content.
Chats
Use Chats when:
• Messaging 1–3 people.
• You need a quick answer.
• The topic is short‑lived or not group‑related.
File Behavior Summary
• Files in Teams/Channels → Stored in SharePoint; everyone in the Team can access.
• Files in Chats → Stored in OneDrive; only chat participants can access.
• Long-term files should NOT be stored in chat.
