Where are Teams Files Stored?

How Files Work Across Teams, Channels, and Chats

Overview

Understanding where files are stored in Microsoft Teams and Chats helps ensure they are saved in the correct place and accessible to the right people. Teams uses SharePoint behind the scenes, while Chats use OneDrive.

Where Files Go in Teams Channels

Files uploaded to a Teams channel are stored in the SharePoint site that supports the Team. Each channel corresponds to a folder in the SharePoint Documents library. This ensures shared access, version history, and long-term organization.

Where Files Go in Chat

Files shared in private or group chats are stored in the sender’s OneDrive in a special “Microsoft Teams Chat Files” folder. Access is granted only to chat participants. Chat-based file sharing should not be used for departmental or long-term documents.

Why Storage Location Matters

• Team files are shared with all Team members automatically.
• Chat files are restricted to individuals in that chat.
• SharePoint supports versioning, metadata, and structured storage.
• OneDrive files may become inaccessible if the sender leaves the organization.

How to Move Files to the Correct Location

Files shared in chat can be downloaded and re-uploaded to the correct Team channel. For long-term or shared work, always upload files to a channel instead of a chat.

Best Practices

• Upload shared files to the correct Teams channel.
• Avoid storing important files in Chat.
• Use SharePoint views and folders for organization.
• Use Teams/SharePoint for long-term storage and collaboration.
