Student Work Account (SW) - Quick Start Guide

Overview

When performing work for your department, use your Student Work Account for all work-related applications, email, and files.

This includes:

  • Computer sign-in
  • Microsoft Outlook
  • Department shared mailbox
  • OneDrive
  • SharePoint
  • Other department-related Microsoft 365 applications

Instructions

1. Sign in to the computer

  1. Sign in to the computer using your Student Work Account.
  2. Continue using this account while performing departmental work.

2. Sign in to Outlook

  1. Open Microsoft Outlook.
  2. Confirm that you are signed in with your Student Work Account.
  3. Use this account for all department-related email and calendar activity.

3. Access your department shared mailbox

Your department's shared mailbox should appear automatically in Outlook after you sign in with your Student Work Account.

Note: If access was recently added, the shared mailbox may not appear immediately. Close Outlook completely, reopen it, and check again.

If the shared mailbox still does not appear:

  1. In Outlook, locate your Student Work Account in the folder list on the left.
  2. Right-click your account name.
  3. Select Add shared folder or mailbox.
  4. Enter the name or email address of your department's shared mailbox.
  5. Select the mailbox to add it.

The shared mailbox should then appear in Outlook.

If you are unable to add or open the shared mailbox, contact IT for assistance.

4. Sign in to OneDrive

  1. Open OneDrive on the computer.
  2. Confirm that OneDrive is signed in with your Student Work Account.
  3. Allow OneDrive to begin syncing.

Once OneDrive is running and syncing, you can access your work files through File Explorer.

5. Add your department SharePoint files

  1. Open your department's SharePoint site in a web browser.
  2. Navigate to the document library or folder you regularly use.
  3. Select Add shortcut to My files.
  4. Allow OneDrive to synchronize the files.

After synchronization finishes, the SharePoint files will appear in File Explorer. You can then work with department files directly from File Explorer without returning to SharePoint each time.

Important

Always verify that you are using your Student Work Account when accessing department-related systems and files.

OneDrive must remain running and signed in with your Student Work Account for SharePoint files to remain available and synchronized in File Explorer.

Certain lifeworks (student work) jobs require the use of a special SW account to be used for things such as email, Jenzabar, Teams, SharePoint, Feith, and Copilot. Regular student email accounts need to be used for TimesheetX and LinkedIn Learning and will never use SW accounts.
